Overview#

RideSheet is an open-source transportation management tool developed and maintained by Full Path LLC. This tool operates entirely within your Google account. This privacy policy explains what data RideSheet accesses, how it's used, and where it's stored.

Who Provides RideSheet#

In this privacy policy, "we," "us," and "our" refer to Full Path LLC, the developer and maintainer of RideSheet.

Key Points:

  • All your data stays in your Google account
  • RideSheet does not upload your data to external servers
  • RideSheet does not share your data with third parties
  • You control all permissions and can revoke them at any time
  • All code is open-source and publicly reviewable

Information RideSheet Accesses#

When you grant permissions, RideSheet can access:

1. Your RideSheet Spreadsheet#

  • Customer information (names, addresses, phone numbers)
  • Trip details (pickup/dropoff locations, times, dates)
  • Driver and vehicle information
  • Run schedules and assignments
  • Post-service data for reporting and analysis of operations
  • Any other data you enter into the spreadsheet

2. Google Docs You Specify#

  • Your manifest template document (the specific document you configure in settings)
  • Driver manifest documents that RideSheet creates

3. Files RideSheet Creates#

  • Driver manifest documents (Google Docs and PDFs)

4. Google Maps Data#

  • Address validation when you enter addresses
  • Driving directions and distance calculations
  • Plus Code validation

How RideSheet Uses Your Information#

RideSheet uses your information solely to provide transportation management functionality:

Core Functions#

  • Data management: Store and organize customer, trip, driver, and vehicle information
  • Calculations: Calculate trip distances, travel times, and estimates
  • Geocoding: Convert addresses to coordinates for mapping
  • Manifest generation: Create formatted driver manifests from your trip data
  • Automation: Auto-fill fields, validate data, and maintain data integrity

What RideSheet Does NOT Do#

  • Store your data on external servers
  • Share your data with third parties
  • Sell your data
  • Use your data for analytics or marketing
  • Access your data when you're not actively using RideSheet
  • Track your usage patterns

Where Your Data Is Stored#

All your data stays in your Google account:

  • Trip data is stored in your RideSheet spreadsheet
  • Generated manifests are stored in your Google Drive folders
  • Nothing is stored outside your Google account

Exception: When you use address validation or distance calculation features, addresses are sent to Google Maps API. This is Google's own service, and the interaction is the same as if you searched for those addresses and trips in Google Maps directly.

Data Sharing and Third Parties#

Services RideSheet Connects To#

  1. Google Maps API

    • Purpose: Geocode addresses, calculate distances
    • Data sent: Addresses you enter in the spreadsheet. Only address strings are sent to the Google Maps API for geocoding and distance calculation. No personally identifiable information (PII) such as passenger names or phone numbers is shared with the Maps service.
    • Privacy: Covered by Google's privacy policy

No Other Third Parties#

RideSheet does not:

  • Share data with advertising networks
  • Integrate with social media platforms
  • Send data to analytics services
  • Use third-party tracking tools
  • Share data for research purposes

Your Privacy Rights and Controls#

Permission Control#

  • You choose which permissions to grant individually
  • You can revoke permissions at any time on per-user basis at https://myaccount.google.com/connections
  • Revoking permissions immediately removes RideSheet's access for your individual user account

Data Control#

  • You own all your data
  • You can delete data anytime by deleting spreadsheet rows or files
  • You can export your data using Google's standard export tools
  • You can uninstall RideSheet by deleting the spreadsheet

No Account Required#

RideSheet doesn't require creating a separate account. It uses your existing Google account authentication.

Open Source Transparency#

Code Visibility#

  • All RideSheet code is publicly available on GitHub at https://github.com/full-path/ridesheet
  • You can review exactly what the code does
  • You can verify that it follows this privacy policy
  • Community members can audit the code for security and privacy

No Hidden Functions#

Because the code is open-source, there are no hidden data collection mechanisms or undisclosed features.

Data Security#

Your Responsibility#

  • RideSheet operates under your Google account's security
  • Follow Google's security best practices (strong passwords, 2FA)
  • Limit spreadsheet sharing to authorized personnel only
  • Review who has access to your Drive folders

For maximum data control and security, we strongly recommend you only store sensitive data in organizational Google Workspace accounts.

RideSheet's Security Practices#

  • Minimal permission requests (most restrictive scopes available)
  • No data storage on external servers (no server to breach)
  • No password storage (uses Google authentication)
  • Open-source code (community security review)

Children's Privacy#

RideSheet is not directed at children under 13. We do not knowingly collect information from children. The transportation data you manage may include information about minor passengers, which you are responsible for handling in compliance with applicable privacy laws.

Changes to This Privacy Policy#

We may update this privacy policy to reflect:

  • Changes in privacy laws or regulations
  • Changes to RideSheet's functionality
  • Improvements to privacy practices

When we update this policy:

  • The "Last Updated" date will change
  • Material changes will be noted in the RideSheet release notes
  • Continued use of RideSheet constitutes acceptance of the updated policy

Compliance#

GDPR (European Users)#

If you're in the EU/EEA, you have additional rights:

  • Right to access your data (it's in your Google account)
  • Right to rectification (edit your spreadsheet)
  • Right to erasure (delete rows or revoke permissions)
  • Right to data portability (export from Google Sheets)
  • Right to object (revoke permissions)

CCPA (California Users)#

If you're in California, you have rights to:

  • Know what data is collected (listed above)
  • Delete your data (delete spreadsheet/revoke permissions)
  • Opt-out of data sale (RideSheet doesn't sell data)

HIPAA#

Important: RideSheet is not HIPAA-compliant out of the box. Do not use RideSheet to store Protected Health Information (PHI) unless you have adequate measures in place for HIPAA compliance.

For data removal requests:

Revoke RideSheet's permissions for each user with access at https://myaccount.google.com/connections and delete your spreadsheet. Your data is immediately removed from RideSheet's access.
